Discovery PTA Officer Job Descriptions

 

 

President

Duties:

  • Oversee all activities of the PTA and work with other volunteers to carry out PTA objectives.
  • Attend weekly meetings with Principal and Assistant Principal.
  • Respond to parent and teacher inquiries.
  • Manage PTA calendar and help coordinate all dates for events and activities.
  • Work with Treasurer to build budget and coordinate spending.
  • Sign and deliver reimbursement checks as needed.
  • Sign contracts.
  • Update social media accounts as needed.
  • Update PTA website as needed.
  • Lead monthly PTA meetings and quarterly executive committee meetings.
  • Review PTA newsletter.
  • Maintain PTA closet.
  • Attend as many PTA events as possible...sign autographs as needed. 

Time Commitment: Approximately 60 hours per month

Term: 1 year term, renewable for 1 additional term.

Vice President, Fundraising 

Duties:

  • Oversees and assists volunteers leading PTA fundraisers (Parent Auction, Restaurant Nights, Spirit Wear/Merch, etc.)
  • Works with President and Treasurer to budget for fundraisers.
  • Oversees spending budgets for all fundraising events
  • Oversees marketing of fundraisers including posting updates in newsletters and social media
  • Provides updates on fundraising activities at PTA meetings.

Time Commitment: Approximately 4-5 hours per week

Term: 1 year term, renewable for 1 additional term.

Vice President, Community Events

Duties:

  • Oversees and assists volunteers leading Community Events (Ice Cream Socials, PumkinFest, Bingo Night, Movie Night, etc.).
  • Works with President and Treasurer on budgeting for Community Events.
  • Works with the President to market all Community Events (i.e. website, newsletter, social media, etc)
  • Provides updates on Community Events activities at PTA meetings.

Time Commitment: Approximately 5-10 hours per week

Term: 1 year term, renewable for 1 additional term.

School Programs

Duties:

  • Oversees several programs that occur during and after school (and each has their own lead volunteer): Rising-K playdates, room parents, after-school enrichment, Yearbook, Reflections Contest, Military Family Outreach, etc.
  • Works with President and Treasurer on budgeting for school programs
  • Works with the President to market all school programs (i.e. website, newsletter, social media)
  • Provides updates on school programs activities at PTA meetings

Time Commitment: Approximately 2-4 hours per week

Term: 1 year term, renewable for 1 additional term.

Treasurer

Duties:

  • Oversees PTA finances and budget
  • Produces and present monthly financial reports.
  • Prepares annual budget, and propose ongoing budget changes as necessary.
  • Ensures annual audit is carried out and tax return filed.
  • Balances PTA checking account.
  • Controsl PTA debit card usage.
  • Trains Assistant Treasurer to take over Treasurer duties.
  • Creates membership reports with new member information for state and national PTA membership submission. (November and February).

 

Time Commitment: Approximately 20 hours per month

Term: 2 year term, not renewable; preceded by term as Assistant Treasurer

Assistant Treasurer

Note: This is not an Executive Committee position.

The Assistant Treasurer takes over as Treasurer after serving as Assistant Treasurer.

Duties:

  • Assists Treasurer with preparing financial reports, expenses, cutting checks, and other duties as needed.

Time Commitment: Approximately 10 hours per month

Recording Secretary

Duties:

  • Oversees membership communications including email contact database.
    • Works with Board members to determine membership drive dates for Fall and Spring.
    • Advertises membership drive (announcement at PTA meetings, Facebook posts, emails, and newsletter update).
    • Creates drive for Teacher members including coordination with Principal, separate registration/payment site, and inclusion of contact information in membership reports.
    • Per request, removes contact information from Constant Contact database for those no longer wishing to receive PTA information.
  • Works with Webmaster to ensure all information is up to date.
  • Works with Newsletter Editor to
    • Collects information from PTA board, PTA committees, Discovery staff, and others for newsletter content.
    • Ensures newsletter link is published to the Discovery PTA website.
  • Ensures the EC has access to provide updates to Social Media including Facebook and Twitter
  • Work with President to prepare agendas for monthly PTA meetings and quarterly Executive Committee meetings.
  • Promotes PTA meetings and agenda topics on social media.
  • Prepares PTA meeting minutes and circulates to community.
  • Special projects as assigned/created.

 

Time Commitment: Approximately 2 hours per week

Term: 1 year term, renewable for 1 additional term.

Public Affairs Officer

Duties

  • Provides updates to school community at PTA meetings and in weekly newsletters about APS, County and State actions affecting Discovery, including providing information on how the community can get involved.
  • Ensures that various APS committees (e.g., CCPTA, ACI, SEPTA, ad hoc working groups, etc.) have Discovery representation and coordinate reporting back to the community on the activities of those groups.

 

Time Commitment: Approximately 10-15 hours per month

Term: 1 year term, renewable for 1 additional term.
